Prepare for a conversation with the person in mind

Generic advice rarely accounts for the person receiving a difficult conversation. If your Coaching seat lets you view their Personality profile, you can ask Bilee privately for a more thoughtful starting approach and, where enabled, request a private preparation PDF.

The permission comes first

Profile coaching does not open access to everyone

The signed-in viewer needs a Coaching seat and must already be allowed to see that person’s profile. MyTeamBuilder applies the existing profile-access rules before Bilee or Profile Documents appear.

An Organisation Admin always occupies a Coach Seat. A Team Lead requires one too, but the title alone does not let either role read another viewer’s private coaching or documents.

Open a profile you can already view

The completed Personality profile offers a practical hypothesis about communication and working preferences.

Ask Bilee about the real situation

Explain the feedback, 1:1 or working relationship you are preparing for. The resulting conversation belongs to you as the viewer.

Request a document where enabled

If the organisation has Profile Documents enabled, choose one of the four supported formats and provide the requested details. The finished PDF remains private to its creator.

Profile Documents are an optional, feature-enabled part of the Coaching-seat experience. They organise profile-informed suggestions and the context you provide into a portrait PDF, giving you a plan to question and adapt before the real conversation.

Who does not receive this

Completing the assessment is a different experience

An Assessment seat provides a unique no-login link for the 36-question, 5-minute assessment. The person receives a Personality profile, which can contribute to Team dynamics where permissions allow.

It does not include Bilee, a signed-in dashboard, profile coaching or Profile Documents. An Organisation Admin can change someone’s access later if ongoing coaching becomes useful.

Personality profile

A practical description of preferences and working style. It is not a diagnosis and does not predict what a person will do.

Team dynamics

A shared view built from completed profiles where permissions allow. It is separate from Organisation Insights, which groups anonymised mood and topic patterns only when there is enough coaching activity to protect individuals.

Creator-only working material

The profile subject does not receive your preparation

A profile-specific Bilee conversation belongs to the viewer who started it. A generated document belongs to the person who requested it.

The profile subject, another Organisation Admin or a Team Lead cannot open that conversation or document simply because of who they are.

Individual coaching is 100% confidential. Organisation Insights are anonymised; no individual messages are visible to Organisation Admins or Team Leads.

Confidential means an Organisation Admin or Team Lead cannot read or identify a person’s coaching messages. Organisation Insights only presents anonymised patterns when there is enough coaching activity to protect individuals. See the full data boundaries.

Use the profile as a hypothesis, not a verdict

Bilee and a generated document can be incomplete or wrong. Check the preparation against what you know, listen to the person in front of you and use your own judgement — particularly for feedback, performance or other high-impact decisions.

Questions before you decide

Profile coaching, clearly bounded

These controls preserve the difference between useful preparation and private employee information.

No. The conversation belongs to the viewer. The person whose profile is open cannot read it.

No. Ask Bilee is available wherever an eligible Coaching-seat user has profile access. Profile Documents appear only where the organisation-level document feature has been enabled.

No. Profile-specific coaching and documents do not draw on the profile subject’s private Bilee messages. Individual coaching remains confidential.
