Privacy and trust, explained in plain language

People cannot use private coaching candidly—and a buyer cannot defend a rollout—if nobody can explain what the organisation sees. MyTeamBuilder keeps assessment, team views and private coaching on distinct data paths. This page makes those boundaries clear before you buy or take part.

Your conversation belongs to you

Private coaching is not a manager dashboard

Bilee is the private, always-on AI Coach included with a Coaching seat. The person using it can think honestly about a difficult conversation, 1:1 or workplace decision without turning that preparation into a manager transcript.

A manager, Team Lead or Organisation Admin cannot open an individual’s Bilee messages simply because of their role.

Individual coaching is 100% confidential. Organisation Insights are anonymised; no individual messages are visible to Organisation Admins or Team Leads.

Confidential means an Organisation Admin or Team Lead cannot read or identify a person’s coaching messages. Organisation Insights only groups anonymised mood and topic patterns when there is enough coaching activity to protect individuals.

Meeting Insights are private to the person viewing them. Assessment Users have no Bilee conversations, Meeting Insights or generated documents because assessment-only access does not include authenticated coaching tools.

A completed Personality profile can contribute to Team dynamics where permissions allow. That shared team view is separate from private coaching and from anonymised Organisation Insights.

What Organisation Insights means

An anonymised organisation theme is not an employee transcript

Organisation Insights gives an Organisation Admin a weekly view of anonymised mood and topic patterns, but only when there is enough coaching activity to protect individuals. It never exposes the messages behind those patterns.

When there is not enough eligible activity for a safe view, MyTeamBuilder withholds the insight. It does not use the 36 assessment answers as coaching-topic messages.

An Organisation Admin may see

  • Anonymised Organisation Mood at organisation level.
  • Trending Organisation Topics when the safe aggregation boundary is met.
  • A weekly organisation insight and practical recommendations.

They do not see

Who said something, an individual coaching message, another person’s calendar, a private Meeting Insight or a creator-owned generated document.

Assessment and profile visibility

A Personality profile is designed to be useful, not universally hidden

The 36-question, 5-minute assessment produces a practical Personality profile. A completed profile can contribute to Team dynamics where permissions allow.

An Assessment User may appear in organisation or team member views, and their completed profile may be visible to Organisation Admins and Team Leads according to existing role permissions and privacy rules. This is different from private Bilee messages.

Team dynamics

A shared team view built from completed Personality profiles where team setup and permissions allow. It can help colleagues discuss different communication or decision-making preferences.

Organisation Insights

A separate organisation-level view of anonymised mood and topic patterns, shown only when there is enough coaching activity to protect individuals — not assessment answers or Personality profile scores.

Private calendar preparation

Meeting Insights stays with the calendar owner

A Coaching-seat user can connect their own calendar and receive private before, during and after guidance where an insight is available.

The event, attendee match and Meeting Insight are not opened to an Organisation Admin, Team Lead, manager or other attendee. Inviting someone to the meeting does not give them access to the owner’s preparation.

Profile coaching and documents

Preparation about a person belongs to the viewer who created it

A Coaching-seat user needs existing permission to view a person’s profile before they can ask Bilee privately about working with them. Where Profile Documents are enabled, the same eligible viewer can request one of the supported preparation PDFs.

The profile subject, another Organisation Admin or a Team Lead cannot open that profile-specific conversation or generated document simply because of their role.

Neither path uses the profile subject’s private Bilee messages.

Approved organisation sources

Knowledge Library control does not unlock coaching messages

An Organisation Admin can enable the Knowledge Library and manage approved organisation documents. Those documents stay scoped to the organisation that added them.

Bilee can reference a relevant excerpt for an eligible Coaching-seat user, but the Admin does not gain access to that user’s question or private answer by managing the source library.

Verified controls and certifications

These are the controls and certifications currently supported by the Product and its payment provider. We do not claim SOC 2 or ISO 27001 certification.

Cyber Essentials certified

MyTeamBuilder is Cyber Essentials certified, a UK government-backed cyber security standard.

AES-256 coaching encryption

Individual coaching conversations are encrypted with AES-256.

Stripe payment handling

Stripe handles card payments and is PCI DSS Level 1 certified; card details do not touch MyTeamBuilder servers.

Two-factor authentication

Signed-in web users can add two-factor authentication to their account.

UK GDPR handling

Personal data is handled in line with UK GDPR requirements, including retention and deletion-request processes.

Procurement support

Contact us if your procurement or security review needs current documentation or a data processing agreement.

AI guidance needs human judgement

Bilee, Meeting Insights, Organisation Insights and generated documents can be incomplete or wrong. Do not use an AI output as the sole basis for a high-impact people decision. Check important advice against the situation, current policy and an appropriate human owner.

Report an unsafe or concerning output

Do not act on harmful, discriminatory or otherwise unsafe guidance. Tell us what happened using the minimum non-sensitive detail needed to investigate; do not paste private coaching messages or personal employee information into the contact form.
